Board Meeting The Pandemic Report 2020 May 24, 2020

  2. Treasurer Report-
    1. Pledges are about 69% filled. We are paying the bills.
    2. The top 3 bookkeeper applicants will be called for an interview.
    3. Compensation will be paid to Michelle Martin because she is fulfilling the bookkeeper role. Michelle Martin will be creating a flowsheet to be completed for the bookkeeper. 
    4. Dave is actively being trained to take over the Treasurer position.  
  3. Minister’s Report- Heard and accepted
    1. How she spent her pandemic. She has done a lot of different, new pastoral care connections. She has used Zoom to continue to connect with the congregation. She has made many care calls to congregants and many of our members have suffered personal losses due to the pandemic. She is learning many interesting aspects of technology. 
  4. Contracts for Priscilla and Nancy- Contracts will be signed. Priscilla’s contract is missing the addendum. Nancy will sign hers after the meeting.
  5. We have not met since March because of the COVID-19, novel corona virus. It has been 3 months since we have met for a service.
  6. How will we continue as a congregation?
    1. Service format and plan
      1. Possible inclusion of other people in the recording. Only the bare minimum of people to be included in the taping of the service. Bram has volunteered to tape and leave. Thanks Bram 😊 Not to exceed 10% of occupancy about 7 ½ people we can round that to 8 whole people. 
      2. What do you value in our service? What do you want to see and hear? Let Jimmy know about any ideas you might like to see or improve on. 
    2. Reopening 
      1. 75 members/friends at 25% occupancy by Gov. Michelle Lujan Grisham, so about 20 people can attend. NM has met the CDC’s recommendations of reopening slowly. 
      2. UUA recommends that congregations not reopen until May 2021. We will continue toward that date. The Board will reevaluate on Aug 23 and Dec 13, 12:30. Steve will have a moment during the service. 
      3. Results of telephone survey- Overall, members agreed to no touch, using a mask, use of sanitizer, verbal covenant of not coming to church if exposed or not feeling well. We will revamp elements of the service for no contact. 
        1. Ideas for reopening.
        2. RSVP before attending on site services
        3. Coffee hour on Zoom to socialize
        4. Use ASL for inclusion, user friendly, flashcards
        5. Taking temperatures on entry
        6. Develop an oral covenant about not coming to congregation if exposed or not feeling well.

    3. Online interactive sties for meetings/classes/socialization
      1. Jimmy will produce the weekly services
      2. Back-up- Nancy will use zoom. 
      3. Social and class time is split about meetings on zoom. Nancy would like to have a class on Zoom
    4. Building facilities by tenants
      1. Tenants can reopen the yoga classes when the Governor allows gyms to reopen. She will need to work around the service taping time. 
    5. Consider plan/team to develop a ‘robust’ website presence with additional features that will help our folks stay connected 
      1. Recruit a team to help build an online UU community. Nancy can start recruiting people. 
    6. Town Hall meeting
      1. Zoom Town Hall in July 12, noon. Expect a certain degree of chaos and we can learn together. 
    7. Fourth of July Bar-B-Que
      1. Social Distancing will be expected.
      2. Follow the governor’s expectations on restaurants. Things will change so expect changes. 2 weeks before we can give more information.
      3. You cannot exceed the (now) 10% of the building for use of the bathroom. That’s about 10 people. 
  7. Endowment committee- needs another member and signatory for endowment accounts
    1. A member resigned from the Endowment Committee. Jan Walters and Elizabeth Clark are still members. Nancy will contact members to serve on the committee. The Board can appoint someone to serve the rest of the year. 
    2. Endowments funds require a $10,000 minimum in which we can use the interest on the account. One fund is specifically for education and cannot be used. The other may be used for general funds. The Board proposes to use $600 to replace the rotting sections of the building and then paint if we can afford it.

  10. Strengthening our community- 
    1. Westside Critter Carnival Review-Fabulous- Overall, we did really well. Do again in the Fall or when the world reopens. Positive experience. Do the layout with better traffic flow. Better advertising before the event. Focus on pets and pet-oriented events. Church membership was great.
